Start with the company policy

This page explains the Hero integration. Read it alongside CompuLoop’s Privacy Policy, which covers service delivery, support, security, overseas processing, access requests and complaints.

The business terms and refund policy are also available before you sign in or choose a package.

What you connect

Your work identity

Google or Microsoft supplies your sign-in identifier, name and email through basic profile access. HubSpot sign-in uses your authorising user ID, account ID and email from its OAuth connection. These sign-in options do not request your mailbox, files or calendar. Your password stays with the provider you choose.

Your HubSpot account

You choose and authorise the HubSpot account. With HubSpot-first signup this happens during sign-in; with Google or Microsoft you connect HubSpot afterward. The app uses the approved connection to match contacts and staff and, when enabled, create the call activity, messages and follow-up records needed for your selected features.

Your Hero service

Your administrator connects the phone account and maps staff to their phone lines or extensions. The app processes the credentials, account identifiers and line settings needed for that connection.

Hero and Crazytel are separate apps with separate connections. Signing in to one does not automatically connect the other.

Calls, optional SMS and recordings

Calling features can process phone numbers, call identifiers, direction, time, duration and outcome, together with the matching HubSpot contact and staff mapping. Callback and reporting features use relevant call activity.

SMS is optional. You can sign up and prepare a calls-only connection without an SMS sender or SMS credentials. When SMS is enabled and available, the app processes message text, sender and recipient numbers, delivery information and the related CRM activity.

Recording access is a separate choice and depends on your phone service. The app stores recording references and checks access before retrieving audio from the provider. Your business must have authority to use and share the recordings and communication data it connects.

Available AI features use authorised provider-generated summaries. The current release does not generate a new transcript or send call audio to a separate AI-generation service. Check summaries against the original conversation before relying on them.

Services involved

CompuLoop operates the integration on managed infrastructure. Google, Microsoft or HubSpot handles your chosen sign-in; HubSpot and Hero handle their connected services; Cloudflare provides the public HTTPS connection; Stripe handles checkout and subscription billing.

Card details are entered on Stripe’s hosted checkout. The app stores the Stripe customer and subscription identifiers and billing status needed to manage access. Each provider also applies its own privacy terms. These services can involve processing outside your country; this app does not promise a single-country data location.

The app encrypts stored customer integration payloads in its database and checks business and staff access. Operational credentials are held separately in protected server secrets. Sign-in uses essential cookies; the application pages do not include advertising or analytics tags.

Disconnection, retention and deletion

HubSpot holds your long-term conversation history. This app acts as the connection between your phone service and HubSpot. Completed delivery jobs are reduced to duplicate-prevention receipts instead of keeping another call or message archive. Hero outbound requests store a content fingerprint rather than the message text. For Crazytel outbound SMS, temporary message content remains until its final delivery result is confirmed in HubSpot. Completed callback records no longer need the caller’s number.

Pending, failed or uncertain deliveries can retain encrypted content while they need reconciliation. Connection credentials, staff mappings, billing evidence, duplicate-prevention receipts, limited report facts and recording references remain where required to operate the service. These records can still identify accounts or activity; they are not described as anonymous. Recording audio stays with the phone provider and may pass through the app during authorised playback. Backups have a separate lifecycle and may contain older copies.

Removing a connection and deleting historical information are different actions. Disconnection does not automatically erase all past call activity, messages, billing records or backups. Records already written to HubSpot and records held by your phone or payment provider remain subject to those services’ controls.

During pre-release, contact CompuLoop for access, correction, disconnection or deletion requests. We will verify the request and explain the records involved, including any records that need to be retained. The production retention schedule and account-deletion workflow are still being finalised; no automatic deletion deadline is promised here.

Your administrator can review the connected services and optional features in setup. Contact support if you cannot access the account or need help revoking a connection.
